Event Planning

The Creation And Production Of Special Affairs

Whether small dinner engagements, events and meetings or large-scale conferences, ceremonies, weddings, formal parties, concerts, or conventions, The Image Cartel can successfully execute your event.

Our primary goal is to first understand the brand, identify its target audience, devise the event concept, and coordinate the technical and logistical aspects prior to execution of an event. This includes overall event design, brand-building, marketing and communication strategy, audio-visual production, script & speech writing, logistics, budgeting, negotiation, and other client services. The process of planning and coordinating the event may include budgeting, scheduling, site selection, acquiring necessary permits, coordinating transportation and parking, arranging for speakers or entertainers, arranging decor, event security, catering, coordinating with third party vendors, and emergency plans. Each event is unique, as such the process of planning & execution of each event differs based on the event, budget as well as special request including sustainable event management.

An event may be an excellent tool for strategic marketing as a way to communicate with current and potential customers. These tailored events may include press conferences, promotional events, product launches, corporate meetings, conferences, networking events, trade shows, team-building retreats or training sessions. As event managers, we may use traditional news media in order to target our events audience, hoping to generate media coverage which will reach a large audience and to increase the event’s attendance.

Utilizing integrated technology online or through mobile apps, The Image Cartel can execute event management utilizing software tools to handle activities such as registration, hotel & travel booking, or allocation of exhibition floorspace, house agenda, speaker biographies, and general FAQs and to encourage audience participation and engagement through interactive tools such as live voting/polling, submitting questions to speakers during Q&A, or building live interactive “word clouds”. Organizers can communicate with participants through the use of alerts, notifications, and push messages and to collect feedback from the participants through surveys and to engage with each other, with sponsors, and with the organizers with built-in networking functionality.
To manage risks, The Image Cartel maintains general liability coverage of $1,000,000 per occurrence and $2,000,000 aggregate. In addition, we obtain event-specific insurance to cover special request.
